Terms of service
These terms apply between the gym that opens a Matpass account and Matpass. Members use the service through their gym; the parts that concern them are marked.

Who you are dealing with
Matpass is run by Gust Oy, Helsinki, Finland. Contact hello@getmatpass.com.
The service
Matpass is software for running a martial arts gym: schedule and bookings, members and their documents, plans and payments, belt records, events, reports, a kiosk and a member app. It is provided as a hosted service at https://staging.getmatpass.com and the app host. We may change or add features; we will not remove a feature a paying gym depends on without at least 60 days' notice.
Accounts
- The person who opens a gym account must be entitled to act for that business. Each business is a legal entity with its own Stripe account.
- Staff accounts are the gym's responsibility. Remove people who leave. Keep passwords private.
- Members own their profile. A gym can see the profile of a member who belongs or belonged to it; it cannot stop the member taking that profile to another gym or deleting it.
Fees
- €49 per business per month plus 1% of member payments. The percentage is taken on each member payment through Stripe, on the same transaction, and appears as a line on the gym's payout report.
- Stripe charges its own processing fees, set by Stripe and paid to Stripe. Matpass does not mark them up.
- The first 30 days are free. After that the monthly fee is charged to the card on file at the start of each month. Prices exclude VAT where VAT applies.
- We can change prices with 60 days' notice. A change never applies to a month you have already paid for.
Payments and payouts
Member payments go to the gym's own Stripe account under Stripe's terms. Matpass never holds the gym's money or its members' card details. Refunds, disputes and chargebacks are between the gym, its member and Stripe; Matpass gives the gym the tools to issue a refund and records the outcome. If a gym turns VAT on, You choose how each location handles VAT: rates you set yourself, Stripe Tax, or no VAT. You are responsible for your VAT registration, the rates and sale categories you select, and keeping manual rates up to date. Member prices include VAT. Stripe Tax fees apply when you choose automatic calculation.
The gym's data and its members
- The gym is the controller of its members' data and Matpass processes it on the gym's instructions, as set out in the privacy policy, which forms part of these terms as the data processing agreement.
- The gym must have a lawful basis for what it collects, must get a guardian's signature for a minor, and must not store special category data, such as health information, without the member's explicit consent.
- Rank history, the audit log and payment records are never rewritten. Corrections are added as new entries.
Acceptable use
Do not use Matpass to send messages people have not asked for, to store content you have no right to, to probe or overload the service, or to break the law. We may suspend an account that does, after telling the owner unless the harm is immediate.
Availability and support
We aim for the service to be available around the clock and tell gyms in advance of planned maintenance. Support is by email at hello@getmatpass.com on Finnish working days. If the service is down for more than 24 hours in a month through our fault, the gym may ask for that month's fee back.
Leaving
- A gym can close its account at any time from Settings. Billing stops at the end of the paid month. Before closing, the gym can export its members, plans, attendance and invoices as files.
- After closing, the gym's data is kept for 30 days in case the closure was a mistake, then deleted, except invoices and payment records, which are kept for the time accounting law requires.
- Members' own profiles are unaffected by a gym closing its account.
- We can end the agreement with 60 days' notice, or at once if the gym breaks these terms and does not put it right within 14 days of being told.
Liability
Matpass is provided as described and we fix faults as quickly as we can. To the extent the law allows, our liability to a gym for any claim in a year is limited to the fees that gym paid in the preceding twelve months, and we are not liable for lost revenue or indirect loss. Nothing here limits liability for wilful misconduct or gross negligence, or any liability that cannot be limited under Finnish law.
Law and disputes
Finnish law applies. We try to settle disagreements by talking first. Disputes that cannot be settled are heard by the District Court of Helsinki. A consumer who uses the service as a member keeps the rights their own country's law gives them.
Changes to these terms
We email account holders at least 30 days before a change that matters takes effect. A gym that does not accept the change can close its account before that date. The date at the top is the last change.
